Job Description: HOA Portfolio Manager

Position Overview:

We are seeking a highly organized and experienced HOA (Homeowners Association) Portfolio Manager to join our team. As an HOA Portfolio Manager, you will be responsible for overseeing and managing a diverse portfolio of homeowner associations, ensuring their smooth operation, financial stability, and overall success. Your primary focus will be to provide exceptional service to our client associations, address their needs, and foster positive relationships with homeowners, board members, and vendors.

Key Responsibilities:

1. Portfolio Management:

  • Manage a portfolio of homeowner associations, ranging from small to large communities, and ensure compliance with governing documents, regulations, and covenants.
  • Provide guidance and support to HOA board members in implementing policies, resolving disputes, and making informed decisions to benefit the community.

2. Financial Management:

  • Oversee and monitor the financial health of each association within your portfolio.
  • Prepare annual budgets, review financial statements, and work closely with the finance team to ensure timely collection of dues and payments of bills.

3. Vendor Management:

  • Source, evaluate, and negotiate contracts with vendors to provide essential services to the communities, such as landscaping, maintenance, and security.
  • Conduct regular vendor performance evaluations to maintain high service standards and cost-effectiveness.

4. Community Engagement:

  • Foster positive relationships with homeowners, ensuring their concerns and inquiries are addressed promptly and professionally.
  • Organize and attend regular association meetings, providing clear communication and updates on community matters.

5. Enforcement of Rules and Regulations:

  • Enforce community rules and regulations fairly and consistently, taking appropriate action when violations occur, and maintaining records of all actions taken.

6. Property Maintenance and Improvements:

  • Coordinate and oversee maintenance projects and community improvements to enhance property values and overall resident satisfaction.

7. Legal and Compliance:

  • Stay informed about relevant laws, regulations, and industry best practices related to HOA management, ensuring the association's compliance with all applicable requirements.

Requirements:

- CCAM or CMCA (equivalent work experience may be considered).

- Proven experience in HOA management, property management, or related fields, preferably managing multiple associations simultaneously.

- Strong knowledge of HOA regulations, governing documents, and property management practices.

- Exceptional organizational, communication, and problem-solving skills.

- Ability to handle multiple priorities, work independently, and meet deadlines.

- Proficient in using property management software and Microsoft Office Suite.

- Detail-oriented with a focus on accuracy and quality service delivery.

- Professional demeanor and ability to build and maintain positive relationships with clients.
